In this report , after we show a brief idea about Al Ain municipality, its vision, mission, values, hierarchy and some of the services that provides to a lot of agencies and individuals by different departments in the municipality , We discussed two of the most important systems in the  municipality  :

Finally, we show how the systems can help the organization to organize and centralize the data, reducing costs, number of employees, production time and improving the data accuracy. On the other hand we discuss some of the disadvantages of using the systems, which are requires a large amount of data, expensive software and the requirements of high expertise workers.

After we went through the details of the most important information systems and its operations in Al-Ain municipality, we believe that the municipality seeking to improve the level of services that provide to customers and employees, through the use of the latest information systems that contribute to the improvement process in the municipality.

Advantages and disadvantages of the systems


GIS-Patterns are often more clearly observed when viewing mapped data, its provide a very effective means for graphically conveying complex information.
Layouts created with a GIS are extremely useful when included in reports and presentations.


HRIS provide employee and manager self-service features in excellent ways to free up the time of human resources staff members for project work and other duties.
In addition it helps employees and managers easily locate answers and information quickly without the need to consult an HR representative every time.

In general, both of the systems provide co-benefits:

 Rather than the production of the collecting, processing , capturing , analyzing , summarizing and reporting the data that needs to be more than a day before implementing the systems , now by using the computer it can be accomplished in less than an hour , with reducing errors that were produced from human in the production of output in the past .
Reduction of employment and cost
Systems can reduce cost by downsizing the number of staff to replace one worker instead of three workers, for example in GIS , instead of hiring workers to draw maps, and workers to record data, and  others  to supervise them, by using geographic information systems , one worker with  enough experience can do all these tasks.

Requires a large amount of data
Both of the systems  require an enormous amount of data inputs to be practical for some tasks and the more data that is put in, the more likely that there will be errors either in the meta data or in the location of the data points. .
Expensive
The systems is quiet expensive, especially the software.
Requires high expertise workers
The systems require some skill to use. Jobs require a degree. It can freeze or crash, especially if the user is unfamiliar with the program or if their computer is incapable of handling the program.



Human Resource Information System in Al-Ain Municipality

Al-Ain Municipality’s Human Resource information System (HRIS) is highly developed which contributed in almost all HRM functions and greatly increase the efficiency and response times of various traditionally labor and time intensive human resource activities. The system contains a program for tracking applicants, a skills inventory, a career planning program, and employee services programs such as an electronic bulletin board.


Human resources management: is a component of Human Resources Information System, which is used in recording the activities of the individual since joining the work until his retirement and the employees' personal information for example:  (The employee's name, contact numbers, date of appointment).


Qualifications and experience: training profiles ,the basic qualification, qualifications and years to obtain, employee work history, courses and its dates.

GIS is just one type of information technology it has specific language and terminology that should be understood. Its integrate hardware, software, and data for capturing, managing, analyzing, displaying and output of geographic and descriptive information for specific purposes. The system is able to introduce geographic information (maps, aerial photographs, Cable satellite) and metadata (names, tables), treatment (revision of the error), storage, retrieval, inquiry, analysis (spatial analysis and statistical), and displayed on the computer screen or on paper in the form of maps, reports, and graphs.
